Create Exciting, Dynamic Learning Meetings

Challenge

A Fortune 100 pharmaceutical company was faced with the challenge of creating mandatory compliance training for all sales people. Since the material, though important, was not that exciting in itself, the customer contracted with ARI to develop and produce a new type of educational event. The desired event would combine strong educational value and also maintain the attention of attendees through a unique and innovative structure.

Approach

Audience participation, attention, and acceptance were all extremely important elements. ARI crafted a television theme for the event to tap into familiar activities and experience of the participants. The “TV Guide” (listing and highlighting each segment) included in the registration packages, offered the initial clue that this wasn't going to be a tradition meeting of bulleted PowerPoint slides! Breaks included commercials to advertise upcoming segments.

Given the wide variety of topics, it was especially important to accurately match content to an appropriate method of delivery. Also, to maintain the desired level of audience interest, the correct mix was critical. All segments included corresponding musical clips. The following categories were used for this event:

  • Games
  • Documentaries
  • Talk Show/Interviews
  • News updates
  • Skits

Individual Session Blocking

Power Meeting audience ARI detailed the flow and timing of each segment through storyboards designed especially for this type of training delivery. Subject matter experts reviewed the initial storyboarded outline followed by a full review of all graphical and multimedia materials.

Technical Specifications

This event included video, pre-recorded audio, musical clips, audience response devices, projection, extensive usage of microphones, and other traditional audio visual requirements. A detail technical specification checklist was prepared in conjunction with all materials.

Show Flow

A detailed show flow supported onsite multimedia technicians throughout the event. This instrument also aided in overall time management, catering/break interludes, and general planning.

Management of Audience Response Units

Each person received an audience response unit assigned specifically to that individual. Conference attendees registered responses to a wide variety of questions and scenarios frequently throughout the event. ARI used the audience response system to conduct the Level 1 evaluation at the conclusion of the program. The audience response system tracked individual and team results based upon established reporting criteria. After each event, this information is immediately available to the customer for analysis. It is used to improve subsequent events and make them more effective.

Additional Audience involvement

game participants Attendees were selected at random to participate in several areas of the overall program. The spontaneous involvement of the audience resulted in the ability to continually maintain a high degree of attention. Throughout the event, participants were also teamed with a goal of friendly competition to challenge others in what would become a highly competitive and exciting conclusion to the day.

ARI also provided onsite technicians and worked closely with the venue to ensure a seamless and professional delivery. Our personnel assisted with registration activities, setup, logistics and on-site management of each event.


Business Result

As a direct result of this program, the customer has expanded the number of PowerMeetings being delivered across the country. Participants applauded the program as an overwhelming success and a welcome departure from traditional training events.
